If you are a small business owner or someone managing human resources in a small company, you’ve probably found yourself overwhelmed by the administrative demands of running a business. Payroll is taking up more and more time, and it’s easy to forget when people take vacation days. You’re worried about staying compliant with regulations as your workforce grows. And there’s always that nagging worry that something is going to fall through the cracks.

You might be thinking about an HR information system (HRIS), but not sure where to start. If you're looking for something simple enough to use without a dedicated IT department, you need a different kind of HRIS than the big ones designed for Fortune 500 companies. These systems are often too complicated and expensive for small businesses, although some smaller versions do exist.

There are many options for HRIS software, and there are guides comparing up to 15 of them. They break them down according to cost, scalability, integrations, customer support, and ease of setup. One guide notes that transparency about pricing helps small businesses avoid paying for features they don’t need, while another emphasizes the importance of finding a solution that can grow with the business.

Some HRIS software includes modules for other functions like project management, and it’s worth considering how those modules might fit into your workflow. But again, not everything matters for everyone. If you don’t need project management, then you don’t need to spend money on it.

How to Choose the Right HRIS Software for Small Business

To find the best HRIS for your business, consider what you really need. Then compare the top contenders against that list. When I did this exercise recently, I realized that we needed an HRIS that would integrate with our payroll provider and our time-tracking app. We didn’t care much about project management, and we were unlikely to need anything else for at least the next few years. We ended up with a system that met our needs, was easy to set up, and had good customer service.

It’s also important to note that feature lists don’t always translate smoothly into day-to-day use. Some HRISs look great on paper, but aren’t quite as intuitive as you’d hope. Others seem promising until you realize you need more functionality than they offer. In either case, you might want to try out the system before committing.

The trade-off between free HR management software and paid solutions can be tricky. Free software may offer limited tracking, such as basic employee information, sick time accrual, or other tools that don’t require integration with other apps. Paid software offers more robust automation and integrations, but it’s important to remember that some small businesses can start with a free option and upgrade later.

That said, you can outgrow a system pretty quickly, especially if you choose one that doesn’t scale well. Migrating from one system to another takes time and effort, so it’s important to pick the right system from the beginning.

When evaluating HRIS software, it’s helpful to remember that value isn’t just about price; it’s about saving time and reducing errors. As your business grows, HRIS software helps you stay compliant and manage your growing workforce efficiently.

As your business changes, so will your needs. The HRIS that works well today may not work as well tomorrow. That means you should periodically revisit your choice of HRIS software and make changes as needed. You may end up moving from one system to another. Don’t be afraid to rethink your decision as your business evolves.
